1. Who we are

2. What data we collect
We collect only what we need to provide the app:
- Email address and login details
- Display name or nickname
- Daily check-in answers — 1–10 scores, optional reflection or diary text
- Saved history and patterns
- Subscription and payment status
- Support and contact emails you send us
- Basic technical or usage data needed to run the app (for example, error logs)
3. Special category data
Your check-in answers and reflections may reveal information about your mental health or emotional state. Under UK GDPR, this is classified as special category data and receives extra protection. We process this data only because you have given us your explicit consent when you create an account and use the app's check-in features. You can withdraw consent at any time by deleting your account.
4. Why we collect it and our lawful basis
We rely on the following lawful bases under UK GDPR:
- Explicit consent — for processing your check-in answers and reflection content (special category data).
- Contract performance — to create and manage your account, save your check-ins, show your history and patterns, and manage Premium access.
- Legitimate interests — to keep the app secure, fix technical issues, and improve how the app works. We only do this where it does not override your rights.
- Legal obligation — to keep limited records where required for legal, tax, payment, or security reasons.
5. Your reflections
Your reflections are personal. We use them only to provide the app's features — saved history and pattern tracking. We do not sell your personal reflection data. We do not use your reflections to train AI models or for advertising.
6. Payments
Payment details are handled by our payment providers — Stripe (web), Apple (App Store), or Google (Play Store), depending on where you subscribe. The app does not store your full card details. Those stay with the relevant payment provider. We receive only confirmation of payment status and subscription details.
7. Third-party services
We use a small number of trusted providers to run the app:
- Lovable Cloud — hosting, authentication, database, and app infrastructure
- Stripe — subscriptions and billing (web)
- Apple — App Store distribution and billing (if applicable)
- Google — Play Store distribution and billing (if applicable)
- Namecheap Private Email / Gmail — support emails
Each provider has its own privacy policy. We choose providers carefully and only share data with them to the extent needed to operate the app.
8. International data transfers
Some of our third-party providers, including Lovable Cloud and Stripe, may store or process data outside the UK or European Economic Area — for example on servers in the United States. Where this happens, we take steps to ensure appropriate safeguards are in place, such as relying on providers who are covered by adequacy decisions or who have signed standard contractual clauses approved by the UK Information Commissioner's Office (ICO).
9. How long we keep data
We keep your account and reflection data for as long as your account is active. If you ask us to delete your account, we will delete or anonymise your personal data as soon as reasonably possible. Some limited records may be kept where we are required to do so for legal, payment, tax, or security reasons. Anonymised or aggregated data that cannot identify you may be kept indefinitely.
10. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate or incomplete data
- Erasure — ask us to delete your data ('right to be forgotten')
- Restriction — ask us to limit how we use your data
- Objection — object to processing based on legitimate interests
- Portability — receive your data in a structured, commonly used, machine-readable format
- Withdraw consent — withdraw consent for special category data at any time, without affecting the lawfulness of processing before withdrawal

You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe we have not handled your data correctly.
11. Security
We take reasonable and appropriate steps to protect your personal data against unauthorised access, loss, or misuse. However, no online service can be guaranteed completely secure. If you believe your account has been compromised, please contact us immediately.
12. Children
The app is not intended for children under 16. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has created an account, please contact us and we will delete the account and associated data.
13. Changes to this policy
We may update this policy from time to time. We will notify you of significant changes in the app or by email. The 'Last updated' date at the top of this page will always show when the policy was last changed.
14. A gentle reminder
The Person I'm With is a reflection tool. It is not therapy, medical advice, diagnosis, crisis support, or a substitute for professional help.
